Artificial Intelligence is changing how we work ‑ but with its growth comes responsibility.
In June 2024, the European Union took an important step with the EU AI Act to ensure AI is used safely, fairly, and transparently.
The Act establishes a forward-looking framework to govern AI, with a focus on trust and human-centric values.
As the European Commission explains, the AI Act will ensure that AI systems used in the EU are “safe, transparent, ethical, unbiased, and under human control”.
This means that when an organisation adopts an AI tool, it should know what the AI tool can and cannot do, be confident that it respects fundamental rights, and always have a human in the loop for critical decisions.
The EU AI Act categorises AI systems based on risk.
High-risk AI systems, such as those used in hiring, healthcare or law enforcement, face the strictest obligations.
Low-risk systems, such as meeting transcription tools, still have transparency and safety requirements, but are less heavily regulated.

We believe AI systems, especially those used in the public sector, must be built on trust.
The AI Act:
For us, these are not just legal obligations; they reflect how we have always approached AI.
HandsonMinutes is a meeting transcription and summarisation tool. It is classified as a low-risk application under the Act, but that does not mean we take shortcuts.
Key Principle | HandsonMinutes Complies |
Data Sovereignty | All data hosted securely on Microsoft Azure servers within the EU. |
Transparency | Users can review, edit, and verify AI-generated minutes. |
Human Oversight | AI suggestions, human decisions. Always. |
Privacy by Design (GDPR) | No data is used for training without explicit consent. |
Documentation & Accountability | Clear documentation available for audits and reviews. |
We have built these principles into the foundation because we believe it is the right way to deploy AI.
Public institutions are under increasing pressure to:
Publishing this openly is part of our commitment to full transparency. No hidden processes, no vague promises. Just clear information you can evaluate.
We do not believe compliance should be treated like a feature or a checkbox. It should be baked into how AI is designed and deployed.
The EU AI Act is a welcome step towards making AI more trustworthy. We are fully aligned with its goals and will continue to improve our systems to reflect the highest standards of safety, accountability, and transparency.
If you are in a public office, municipality or pension fund and you are evaluating AI solutions, we invite you to scrutinise how we approach these regulations. We are happy to have that conversation – openly and clearly.
Taking minutes of a meeting will never be the same again! HandsonMinutes does the work for you using AI. Of course, completely safe and reliable, as you would expect from us.
